From Tech Pack to Bulk: The Sample Development Timeline

A step-by-step look at the 10-working-day sampling process, the 5-8 week bulk window, inspection, packing and shipping options.

Stages of apparel production: steaming and finishing, fitting a jacket on a dress form, cutting a pattern, yarn cones, thread spools, an industrial sewing machine, the sewing floor and finished garments on a rail
Once the designs are finished, the schedule is what most brands underestimate. Knowing the sequence makes it much easier to set a launch date you can actually hit.

What You Need to Start

Two things unlock the process: your print or embroidery file in PDF or AI format, and a measurement chart for each design. With those, the details can be reviewed with you before anything is cut.

The Sample Stage: About 10 Working Days

Sampling is a chain of small steps, not one task. The stages include roughly 2 days for sourcing fabric, 3 days for pattern making, 3 to 4 days for logo preparation, and 1 to 2 days for sewing. In total, expect around 10 working days from sourcing to a finished sample. A blank sample with no branding can be faster, at about 7 days.

Approval Triggers Bulk Production

Nothing goes into bulk until you are happy with the sample. Production begins once the sample is approved and the bulk deposit is received.

Bulk Production: 5 to 8 Weeks

The bulk window is typically 5 to 8 weeks depending on the style and the trims involved. During the run there are two mid-production inspections, so problems are caught while the line is still moving rather than at the end.

Inspection and Packing: Another Week

Before packing, quality control carries out a final inspection, which takes 3 to 5 days. Packing adds 3 to 4 days, and the shipping paperwork is handled for you. The balance payment falls due before delivery.

Shipping: Choose by Urgency

Air freight is usually 7 to 15 days and express 5 to 7 days, while sea freight runs 28 to 45 days depending on the carrier. If you already work with a forwarder, goods can be delivered to their warehouse instead.

Working Backwards From Your Launch

Add the stages together and a first collection needs roughly two to three months from approved designs to delivered garments, plus your sample revision time. Send your tech pack to Michelle@yimifashion.com for a timeline specific to your styles.
